Merchant Scanner / Merchant onboarding

Merchant onboarding without the email chase.

Send each merchant a private onboarding link. They complete the application and upload their KYC documents in one place, and your team sees exactly what is done, what is missing and what to do next.

The problem

Onboarding stalls in the inbox.

Most merchant onboarding still runs on email: a PDF application form, a list of documents, then weeks of reminders. Nobody can say at a glance how complete a file is, and documents arrive in the wrong format or not at all.

When the file is finally complete, it is often sent to an acquirer that was never going to approve that merchant, and the process starts again.

What the merchant sees

One private link, one clear application.

Company information

Legal entity, registration number, addresses, websites and billing descriptors.

Commercial and processing profile

Projected volume, average ticket, chargeback and fraud ratios, target markets, sales model and current gateway.

Director and KYC documents

Director details and up to 19 supporting documents, uploaded as PDF, PNG or JPEG.

Compliance and website checklist

Compliance declarations, a website compliance checklist, and a signed declaration at submission.

What your team sees

Progress you can act on.

  1. Live progressEvery section and every document is tracked, so you know how complete each file is without opening it.
  2. Alerts that matterAn email when the merchant first opens the link, when documents are uploaded and when the file is submitted. Several uploads close together arrive as one email.
  3. What to do nowEach merchant card says what the next step is, so anyone on the team can pick a file up.
  4. One historyEvery event, from link sent to acquirer decision, is kept on the merchant's timeline.

Before it goes to an acquirer

Identity review and risk assessment built in.

Before a file leaves your team, confirm the business entity behind the website and run a risk assessment. Risk flags are listed with their reasons, including any match on a regulator warning list, so problems are found by you and not by the acquirer.

From there, Acquirer Matching suggests which acquirers fit the merchant and sends the file to them on private review links.

Questions

Merchant onboarding: what teams ask.

How does the merchant complete the onboarding?

Each merchant receives a private link to an online application. They fill it in section by section, upload documents as PDF, PNG or JPEG files and submit it with a signed declaration.

Which documents does the onboarding collect?

Company documents such as the certificate of incorporation and articles of association, IDs and proof of address for directors and beneficial owners, bank account confirmation, processing history or a business plan, licences where applicable, and PCI DSS evidence.

Will we know when a merchant has uploaded documents?

Yes. The team is emailed when the merchant first opens the link, when documents are uploaded and when the file is submitted, with the progress of each section.

Is merchant onboarding part of every plan?

Merchant onboarding, underwriting and Acquirer Matching are part of the White Label and Enterprise plans. Request a demo to see them with your own workflow.
